Verification of Identity (VOI)
Verification of Identity (VOI) is a process used to confirm that you are who you say you are.
It is an important safeguard designed to protect you and others from identity fraud, particularly in property transactions and other legal matters where documents are registered with government authorities.
Carrying out VOI helps prevent fraudulent land dealings and ensures that all legal and regulatory requirements are met. For conveyancing and legal professionals, VOI forms part of the standard due-diligence process required under Australian law to combat identity fraud and money laundering.
Fox and Thomas Pty Ltd uses a secure and convenient online VOI provider. This allows you to verify your identity remotely using your mobile phone or tablet, without needing to attend our office.

Anti-Money Laundering and Counter-Terrorism Financing (AML/CTF)
While not all legal services are currently regulated under AML/CTF legislation, law firms are expected to adopt procedures to reduce the risk of financial crime, including identity fraud and money laundering.
In addition to our VOI requirements, Fox and Thomas Pty Ltd may be required to:
- request information about the source of funds or wealth;
- understand the nature and purpose of your transaction; and
- retain records in accordance with applicable laws and professional obligations.
You will need to provide any information or documentation reasonably requested by us to enable compliance with these requirements.
If sufficient information is not provided, we may be unable to act or may be required to cease acting.

Terms of engagement and costs disclosure
We are required under the Legal Profession Act 2007 (Qld) to disclose how our fees are calculated and provide you with an estimate of costs.
Our legal fees may be charged on one of the following bases, depending on the matter:
- a fixed fee;
- an hourly rate; or
- another agreed pricing structure.
In addition to our professional fees, you may be required to pay outlays (disbursements), which are expenses we incur on your behalf.
If there is any significant change to the scope of your matter or the estimated costs, we will notify you as soon as practicable.
You will need to:
- provide complete and accurate instructions;
- respond promptly to requests for information; and
- pay our accounts in accordance with the agreed terms.
Delays in providing instructions or payment may affect timelines and, in some cases, settlement or completion dates.
